1. Call to Order: Chair Dusty Farmer called the meeting to order at approximately 8:33am.

2. Public Comments on Non-Agenda Items: There was no public comment.
3. Consent Agenda:
a. Meeting Minutes – June 28, 2022 Regular Meeting
b. Meeting Minutes – July 18, 2022 Special Meeting
c. July 2022 Financial Reports
d. Request for Adjustment to Schedule – Kyle Gibson
Cheri Bell requested that item D be removed from the consent agenda for further discussion.
A motion was made by Dusty Farmer and supported by Carol DeHaan to approve consent agenda items A through
C and insert item D as item 8 on the meeting agenda.
Upon a voice vote, the motion was carried 4-0 with 1 absent.
4. Discussion Re: Active Development Quality Assurance Processes for Site Plan Compliance:
Planning Director Lubbert presented a request to the Board for the consideration of SMBA’s involvement in the
pre-construction phase of planning/zoning review. The Board held discussion with input from Attorney Porter and
Building Official Reitenour. Chair Farmer directed Building Official Reitenour to continue the discussion with
Oshtemo Township staff and compile a list of requirements for further consideration at the next regular meeting.
5. Unfinished Business from Prior Meeting(s):
a. Qualified Fire Alarm / Suppression Plan Reviewers:
Attorney Porter shared an opinion with the Board. A motion was made by Dusty Farmer and supported by
Carol DeHaan to continue utilizing Code Savvy Consultants LLC for Fire Alarm / Suppression plan reviews, to
be re-evaluated at the next regular meeting pending review of additional information.
Upon a voice vote, the motion was carried 4-0 with 1 absent.

6. Review of Appeals Process:
Chair Farmer addressed the Board. No action was necessary.
7. Aunalytics Server Upgrade Proposal:
Chair Farmer shared the proposal with the Board with input from Office Manager Gibson. A motion was made by
Larry Stehouwer and supported by Dusty Farmer to approve the proposal as presented.
Upon a voice vote, the motion was carried 4-0 with 1 absent.
8. Request For Adjustment to Schedule – Kyle Gibson:
Cheri Bell asked a clarifying question which Office Manager Gibson answered. Board consensus was to approve
the request, and asked that the matter be reviewed in six months to ensure that there are no issues.
No formal action was required or taken.
9. Board Chair’s Report: Chair Farmer had nothing to report.
10. Other Business: There was no other business brought forward.
11. Public Comment: There was no public comment.
12. Adjournment: Seeing and hearing no other business, and having exhausted the agenda, Board Chair Dusty Farmer
declared the meeting adjourned at approximately 10:14am.

The Board approved the creation of a temporary part-time clerical assistant position at the June 9, 2022
special meeting. The Board requested that the need for an extension of that position be re-evaluated at the
end of the term. The temporary employee’s last day was Friday, August 19th.
In my estimation, approximately 80% of the digitization backlog has been completed. I am extremely pleased
with the volume and quality of work that was completed considering the short time frame. In my opinion, a
concerted effort between El and myself could complete the outstanding items. I do not believe that a more
permanent position is strictly necessary at this time.

Statement of Work
Project Intent
Upgrade Managed Service to Secure Managed Services for the environment.
o Note: MS Defender already in place, eliminate separate billing and retain service as is.
Implement Duo MFA for Office 365 and Exchange Online.
Implement Duo MFA for Remote Desktop Services.
o Note: No client VPN is in use for the environment.
Scope
Preparation:
Review the project.
Review current Office 365 user count.
Discuss the potential need for Duo D-100 tokens. If Duo D-100 tokens are needed, a PCR (Project Change Request) is
required.
Review existing Managed Service and determine uplift/transition to Secure Managed Services.
Determine any associated project risk.
Develop a detailed project timeline.
Provision Duo MFA accounts for the associated end-users.
Configure Duo D-100 tokens for client specified users, if needed.
Add Office 365 as a protected application in the Duo Admin Panel.
Deploy Duo Authentication Proxy service into the existing client server environment (Server TBD).
Enable Duo SSO (Single Sign-on).
Provide the client with end-user installation documentation for Duo Smartphone client software deployment.
o Note: Client to provide the documentation to the end-users for remote install/configuration.
o Note: Client to help facilitate endpoint/SmartPhone changes, if needed.
Duo MFA for Office 365 Full Deployment (STANDARD HOURS):
Enable Duo for Office 365 and Exchange Online, for the remaining users with no users in bypass mode.
Work with the client to verify Duo functionality for both Office 365 and Exchange Online.
Duo MFA for Remote Desktop Services Deployment (AFTER HOURS):
Install the Duo application and tie to Remote Desktop Gateway services.
Configure the Duo admin portal URLs for Duo MFA use with RDS.

Technical / Project Approach
Experienced Aunalytics staff will be utilized for this initiative including; Project Manager and Supporting Engineers. Oversight for
technical quality and functionality of all configured service features will be provided by Operations Management. All assigned staff
have requisite experience to support the project Scope.
All equipment configuration changes and replacements will require a maintenance window. These will be scheduled with the
Client at their convenience.
Aunalytics utilizes Autotask software for project management. The Client will be provided an account and portal for this software.
If the scope warrants a Project Manager, the project phases and tasks will be built using this software. The Client will have the
capability to view the project and its status. Regular project management meetings will be held to track the progress of the
project. The frequency of these meetings can be adjusted per the Client’s request.
Timeline for Execution
The timeline for this installation will be coordinated between the Aunalytics Delivery Team and the Client.
Client Responsibilities & Assumptions
Communicate changes with Client staff.
Coordination of maintenance windows with Aunalytics staff.
Client to provide access to the facility as well as systems being worked on during scheduled project hours.
Backups will be current before any technical tasks can be started.
Client to verify any Line of Business application functionality prior to as well as after project implementation, which is
ultimately part of the larger Project Test Plan.
Administrative usernames and passwords for existing equipment will be available.
Aunalytics by default will enable remote access capabilities to a client environment from the Aunalytics environment.
This remote access is enabled for the sole purpose of providing remote support capabilities.
Change Management Procedures
In the event it is necessary to change this SOW, the following terms will apply.
A change request document (“Change Request”) will be executed by the parties, describing the nature of the (material) change,
the reason for such change, and the effect such change will have on the scope of work, which may include changes to the
deliverables, project personnel, or Services.
Either party for any material changes to the SOW may initiate a Change Request. The requesting party will review the proposed
change with the other party, and the appropriate authorized representatives of the parties will sign the Change Request,
indicating the acceptance of the changes by the parties.
Upon execution of the Change Request, said Change Request will be incorporated into and made part of the SOW.
Whenever there is a conflict between the terms and conditions set forth in a Change Request and those set forth in the SOW or
previous Change Request, the terms and conditions of the most recent Change Request shall prevail.

Specifically excluded from this service:
On demand onsite service or project work.
Changes or major version release upgrades to the environment (i.e., architectural changes to the environment – new
devices, new applications, changing overall design or function).
Repair or replacement of hardware or accessories.
Client Responsibility:
Servers with Microsoft Windows Operating Systems must run currently supported version of the OS.
All software must be genuine, licensed and vendor supported.
Devices not covered under this contract, must have a currently licensed, up to date, and vendor supported server-based
antivirus solution.
The environment must have a currently licensed, vendor supported server-based backup solution.
Devices not covered under this contract must be current on all firmware and patches.
The environment must have a currently licensed, vendor-supported firewall between the internal network and the
Internet.
Any wireless data traffic in the environment must be secured with a minimum of 128-bit data encryption.
Covered hardware device must have up to date vendor support contract.

Service Level Response & Tech Assignment Targets:
Support requests made outside of standard business hours must be initiated through the After-Hours Support process for targets
to apply. Event classifications and targets as follows, where not specifically detailed in Scope of Work (SOW) which prevails:

Special Notice:
During the on-boarding process, AU will perform a network scan to validate the environment. Data collected will be used
to determine the supportability of the environment.
New devices discovered during the onboarding process will be added to the contract. Device must meet performance and
support requirements defined above.
Where improvement to client’s infrastructure is required, AU project services will perform the necessary work upon
approval of a project change request.
All supported devices must adhere to the standards above. AU will work with the client to ensure that their infrastructure
is kept up to date.
Devices which do not maintain vendor support contract may no longer be supported under this service until coverage is
reinstated.
Duo Multi-Factor Authentication will be implemented to protect Office 365 and VPN based Remote Access services.
Term of Service:
Following completion of initial term, this service agreement auto renews for 12-month periods on the anniversary of the
service live date.
At each renewal period, service will be reviewed against current pricing schedule and updated automatically to reflect
current service fees.
Billing Terms:
This service is billed 30 days ahead of service delivery.
Any changes to service affecting billing will be reflected as prorated values on the next monthly invoice.
